Custom invite email templates

The current default invite email is limiting our ability to present a polished, professional, and on-brand experience from the very first touchpoint.

Right now, the invite:

  • Refers to my software as an “app,” which does not accurately reflect our positioning as a premium client portal and business system

  • Uses generic, system-generated language that doesn’t align with our brand voice

  • Lacks customization for different user types (clients vs. advisors vs. admins)

  • Misses an opportunity to set expectations, build trust, and guide the user experience

For our business, the invite email is not just a system notification—it’s the first impression of our entire ecosystem.


Why This Matters

1. Brand Positioning
We are not offering a generic “app.”

We are offering a high-touch, guided experience through a Client Portal and CRM system designed to simplify travel planning.


Language matters. The word “app” immediately cheapens the perceived value and feels transactional instead of intentional.


2. Client Experience
For clients, this email should:

  • Reinforce that they are receiving a personalized, concierge-level service

  • Clearly explain what the portal is and why it matters

  • Reduce confusion and increase engagement with the portal

Right now, it does none of that.


3. Advisor Experience
For advisors joining the platform:

  • This is their first interaction with our software

  • It should feel like they’re stepping into a professional, well-built system

  • It should guide them clearly on what to do next

Instead, the current email feels generic and disconnected from the actual experience.


4. Conversion & Adoption
A well-written invite email can:

  • Increase portal logins

  • Reduce onboarding friction

  • Decrease support questions

  • Improve overall engagement with the system

This is a high-leverage touchpoint that we’re currently underutilizing.


What Custom Templates Would Allow Us To Do

  • Replace “app” with our software name

  • Tailor messaging based on user type (client, advisor, admin)

  • Add clear onboarding instructions and expectations

  • Reinforce brand voice (warm, professional, supportive)

  • Include helpful context (what they’ll find inside, what to do next)

  • Improve overall trust and perceived value immediately


Bottom Line

The invite email is the front door to our entire system.


Right now, it feels like a generic software notification.


With custom templates, it becomes a branded, intentional, high-converting onboarding experience that reflects the level of service we actually provide.
